The following is a guideline to follow when using the recipe "Email Scrape." Please read these guidelines before cloning the recipe.
Overview
This recipe provides the following:
- Two bots for email scraping: One for scraping auto-response emails and one for scraping email signatures (Note: these bots will be created but not automated)
- For scraping auto-response emails:
- Use Openprise’s GenAI to extract auto-response emails to understand if the sender is out of office or has left the company. AI will extract any delegate information provided.
- Parse out the extracted information for upserting.
- For scraping email signatures:
- Use Openprise’s GenAI to extract email signatures to obtain the sender’s latest information
- Parse out the extracted information for upserting.
Preparation
- As a prerequisite to using the Email Scrape project recipe, credentials need to be set up for Openprise GenAI.
- Please reach out to your CSM to set up your Openprise GenAI credentials.
- Establish data sources:
A data source must be created for these four Salesforce objects: Accounts, Contacts, Leads, and Tasks. If you already have these data sources, you do not need to create new ones. The data sources need to contain the following attributes:- Accounts: all standard fields
- Contacts: all standard fields, plus attributes to hold the LinkedIn URL and No Longer at Company tag
- Leads: all standard fields, plus attributes to hold the LinkedIn URL and No Longer at Company tag
- Tasks: all standard fields
Create new data targets: Create a new data target for each object with the following attributes.
NOTE: If you don’t want to update Salesforce with all of these fields, you can customize the export task after the project has been created to update the specific fields desired.
Contact Lead Id Id Email Email First Name First Name Last Name Last Name Title Title Business Phone Phone Mobile Phone Mobile Phone No Longer at Company LinkedIn Profile LinkedIn Profile Country Account ID State/Province Mailing Country City Mailing State/Province Zip/Postal Code Mailing City Street Mailing Zip/Postal Cide Mailing Street
Clone
To clone the project recipe, navigate to Projects Recipes and select the project recipe to clone.
You will need to provide:
- Project name
- Prefix and/or suffix for all objects in the project
- Data sources to be used in the project
- Data targets to be used in the project
Examine the cloned project
We recommend you look through all the newly created project elements to familiarize yourself with what has been created.
Look for:
- Any job that is marked with errors. These errors must be manually corrected.
- Export tasks that write back to Salesforce. Make changes by un-mapping any values that you do not want to write back to Salesforce.
NOTE: Any Export task to Salesforce has been bypassed for your protection. We recommend that you run the jobs with the bypass enabled so you can review any data changes before writing data back to Salesforce.
Run bots
The first time you run bots, we strongly suggest you keep the bypass option enabled on all export tasks. Please review the output of each job to familiarize yourself with the processing logic and verify the jobs are performing as expected.
Results can be viewed using the Email Scrape for Auto-Response app and Email Scrape for Signature in App Factory. The apps allow you to review extracted information from auto-response emails and extracted information from email signatures.
Finalize the project
Final steps include:
- Purge the jobs to prepare for a clean automated run
- Optional: purge the manual data sources for a clean automated run
- Edit the Bot to schedule the frequency and enable automation
